Knowledge Centre – How to View and Add into the Knowledge Centre

Here you will find a range of fact sheets designed to provide detailed facts on a range of topics.  These fact sheets provide information only.

Navigate to the Documents Menu and select Knowledge Centre

 

Documents listed here are typically Corporate documents can range from Policies, User Guides and standard form templates.

Each type of document is listed by category and will list the following items

  • Document Name – this is a Hyperlink when click will open the document in a PDF format.
  • Details – Will display if the Document Information field was completed when document uploaded.
  • Status – Will display the current Document Status.
  • Extn – Will display the file type of the document.
  • Document Date – Will display the date the Document was uploaded.

Edit Details

When clicked on the user will be taken to the Document – Viewing screen for that document, from here the user will be able to edit the document, change keywords or delete the document.

Add New Category

When clicked on the user can add a new Folder level to the Corporate Department Folder Structure.

Close

When clicked on the user will be taken back to the screen they were in previously.

 

Noticeboard – How to View and Search Items on Noticeboard

Here you will find all the Tasks and Actions sent to you and is similar to the “My Tasks” Widget on your Dashboard, it is also a pace where you can search for current or past actions

Navigate to the Task – and Click on the Action Type Hyperlink

 

This will open the Action, for you to Delete, Forward, or Complete, please see the Task/Action User Guide.

 

Press Close to take you back to your previous screen the Notice Board screen.

When selecting the Hyperlink Name – this will open the Client Summary screen.

When selecting the Hyperlink Documents Name – this will open the document for viewing only.

When selecting the tick box on the left-hand side, this will open the notice in view mode only at the top of the screen

Select All/Clear All button

When ticked it selected all actions and when clicked again deselects all, this is used to activate the Export List Button and Marked as Unread

Export List button

This will export a list of selected actions, to excel.

Mark as Unread button

When this is selected the action will become bold again.

Search for Document Actions

 

This section is very similar to the Document Search screen, for Notice Board searching it will only return positive searches for Documents that have had an Action set against them and where the below criteria matches.

 

 

Department Name– Lists all available departments.

 

Document Name – A user can enter in a document name or partial document name for searching.

 

Type – Lists all types available.

 

Folder Name– Lists all folders available.

 

Doc Information – Free text field.

Auto filing – Select a client from the drop-down list or leave blank.

 

Status – Select from the drop-down list or leave blank.

 

Doc Date – If checked the Quick Date Range will use the Document Date to base its search.

 

Doc Saved – If checked the Quick Date Range will use the Document Saved Date to base its search from.

 

Document Date Quick Selection

This field will only be available if you select Doc Date or Doc Saved first

  • Between – User can select to and from date fields
  • Today – Current Date is selected.
  • Yesterday – Yesterday’s date is selected.
  • Month to Date – 1st of current month to current date is selected.
  • Last Month – 1st of previous month to the last date of previous month is selected.
  • Year to Date – 01/01/xx of current year to 31/12/xx of current year is selected.

 

Created By – Lists all users.

 

Modified By – Lists all users.

 

Saved Searches – Lists all saved searches

 

Show Completed Actions – Lists all actions completed for this search criteria.

 

Once your search criteria have been completed selected Press the Start Search button

All documents found will be displayed in your Document Search Results.

 

To Save a search criteria select.  Press the Save Search button

You will then be asked to enter in a Name your Saved Search, remember other users will be able to see this Search Criteria so Name it something meaningful.

 

 

Press Ok to save your Search Criteria.

Press Cancel if you do not wish to save the search.

 

To clear any exiting search criteria, select New Search

This will clear all fields.

 

All documents found from your search will be listed in the Results.

Search for Non-Document Actions

This section is very similar to the Document Search screen, for Notice Board searching it will only return a positive search where the below criteria matches.

Once search has been selected the following notices will display.

 

 

Name– A user can enter in a Clients Name or partial for searching.

 

Assigned By – Lists all uses that Action could be assigned to.

 

Action Type – Lists all types available.

 

Created Date – If tick box selected the Quick Date Range will use the date the Non Document Action Date to base its search.

 

Deadline Date – If tick box selected the Quick Date Range will use the Non Document Deadline date to base its search.

 

Document Date Quick Selection

This field will only be available if you select Doc Date or Doc Saved first

 

  • Between – User can select to and from date fields
  • Today – Current Date is selected.
  • Yesterday – Yesterday’s date is selected.
  • Month to Date – 1st of current month to current date is selected.
  • Last Month – 1st of previous month to the last date of previous month is selected.
  • Year to Date – 01/01/xx of current year to 31/12/xx of current year is selected.

 

Saved Searches – Lists all saved searches
